NAWBO SVV - Duties of Officers and Board Members

New Board is elected in May and installed in service at the July luncheon.

All Board Chairs are to attend a Planning Retreat in August.

All Board Chairs should appoint vice-chairs (Any position can also be Co-chaired) and gather committees to ensure the completion of the following duties:

Vice President (President-Elect) – becomes the next President and then Past President

Stands in for President when necessary
Attends (if possible) NAWBO National Conference and specifically the incoming Presidents meetings
Coordinates the submission of new Board information to National
Takes on the one-of-a-kind jobs that arise that don't fall into any other category
Organizes our annual Entrepreneurial Excellence Awards day each May
Holds strategic planning meeting with incoming Board
Supports needs of President

President – trains as President Elect, then becomes Past President

Plan and create August retreat for new Board
Acts as the principal officer of NAWBO Sedona Verde Valley and serves as spokesperson
Sets the agenda for meetings of the NAWBO Board and run the meetings
Presides at all meetings of NAWBO (If absent, Pres-Elect presides)
Monitors Board activities and directs Board members
Signs all contracts on behalf of NAWBO except as otherwise provided in the policies and procedures of the association
Attends regional, state and national NAWBO meetings when possible
Appoints special committees except the Nominating Committee
Represents NAWBO at local business functions and in the media
Serves as ex-officio member of all committees except the Nominating Committee

Past President

Supports the President in every way
Chooses the Nominating Committee and organizes the nomination and election of the incoming
Officers and Board
Takes Board minutes if Secretary is away
Ensures continuity of NAWBO Sedona-Verde Valley standards

Secretary – 1 year term

Takes minutes at Board meetings and distributes minutes to Board
Does all general correspondence for Board
Sends cards to members facing illness, or death of loved ones

Treasurer – 2 year term

Prepares financials for monthly Board meetings. (Balance Sheet-Profit & Loss-Check Register)
Counts and deposits all monies collected from events and monthly meetings and provides written record of monies collected to the board
Pays bills and all reimbursements
Checks the mail at least once a week
Collects checks and new membership applications, completes form from Nationals and forwards to them
Gives a copy of the application to the Chairs of Membership and Communications
Creates billing system for Search by Category listing renewals in Quick Books
Balances the monthly bank statement
Prepares yearly budget and enters into QuickBooks
File the Arizona Corp. Commission report in May including Statutory Agent update and the 990 EZ tax return in October

Chair of Communications – 1 year term

Maintains and updates email list of members, corporate partners, guests and honorees
Emails luncheon announcements, reminders and follow-up messages
Emails special event announcements
Creates and sends follow-up announcements
Sends updates for website to the Web Liaison
Interfaces with Web Liaison for other web site changes
Responds to inquiries about e-blast
(This position requires someone with technology and computer skills, or who is willing to learn them, and is regularly on the Internet)

Chair of Corporate Partners – 1 year term

Establishes and maintains relationships with all corporate partners
Organizes corporate partner contracts, ensures they are up to date and that their sponsorship dollars are accounted for
Seeks out new corporate partners via networking and soliciting
Coordinates with corporations and NAWBO web liaison to update corporate info including logos
Works with signs partner to create banners and signs for NAWBO functions
Arranges for monthly corporate “spotlight” at luncheons where the sponsor has 5 minutes to talk

Chair of Membership – 1 year term

Welcomes New Members
Keeps the membership roster up-to-date
Sends new members details to Communications Chair
Contacts members one month before their membership is due to expire
Follows up with members concerning renewal if membership expires
Keeps copies of new members’ applications
Sends “thanks for joining/how can we help/join a committee” notes to new members via email or phone
Coordinates membership orientation and retention
Orders name badges for new members
Makes necessary name-tags for guests and speakers
Sends “thank you for attending” notes to guests and make follow-up calls re joining
Sets up and Runs registration desk at all regular luncheons
Has membership packets available at each luncheon and special events
Runs registration desk at all regular luncheons
Gives money/checks with completed luncheon summary sheet and lists of who paid to Treasurer for deposit
Collects business cards from members for member spotlight drawing and sends to Communication Chair
Collects names tags at the end of the meeting
Organizes yearly membership drive to coincide with Nationals (March)

Chair of Programs – 1 year term

Keeps track of all RSVP's and communicates numbers to the Board and restaurant facility
Responds to all queries on luncheons and communicates any concerns with the Board
Prints flyers and short agendas for luncheons
Tracks vegetarian meal requests and makes place cards for luncheons
Collects and advertises raffle prizes for all regular monthly luncheons
Develops a calendar of speakers (utilizing resources of Sedona, Phoenix and Tucson Chapters) for NAWBO luncheons
Obtains Board approval for speakers and schedules at least two months out
Follows-up with speakers to confirm attendance, length of speech and any special needs
Creates luncheon announcement (with speaker photo) and sends to Communication Chair
Coordinates luncheon numbers and advises restaurant facility
Introduces speaker at luncheons
Passes out and collects critique sheets for each luncheon; prepares info for future programs discussion
Arranges speaker gifts and presents the gift to the speaker
Sends Thank You notes (or emails) to each speaker within one week of the luncheon
Plans and organizes the Holiday Party

Chair of Education and Public Policy – 1 year term

Submits educational program ideas to the board
Plans and coordinates two to three special educational events during the NAWBO year
Attends (when possible) National Public Policy events
Reads National updates and communicates the information to the Board

Chair of Marketing - 1 year term

Creates and sends press releases for all luncheons and events
Coordinates all advertising opportunities for NAWBO members

Keeps binder of media announcements and programs
